Privacy Policy — YT Scanner

This policy applies to the YT Scanner mobile application (Android and iOS) published by YT Technologies PLC. It does not replace your organization's own policies or the general website privacy policy at yt-technologies.com/privacy.
YT Scanner connects to YT DMS (Document Management System) at dms.yt-technologies.com. Your organization chooses when you may use the app; your employer or institution is usually the controller of documents you upload, while YT Technologies PLC operates the platform.
Information we process
When you use YT Scanner, the app and our servers may process:
- Organization identifier (company name you enter at login) and phone number for one-time-password (OTP) sign-in.
- Profile information linked to your account (such as display name and role) provided by your organization.
- Documents and images you scan or upload, plus related metadata (titles, folders, timestamps) stored in your organization's YT DMS archive.
- Authentication tokens stored securely on your device so you stay signed in.
- Optional device notifications if your organization enables push alerts.
- On-device biometric unlock settings (stored locally; we do not receive your fingerprint or face data).
Camera, files, and on-device processing
The app requests camera and photo library access so you can scan documents. On Android, Google ML Kit may download language models for document scanning and text recognition; processing is designed to run on your device. Uploaded files are sent over HTTPS to your organization's tenant on our servers.
How we use information
We use this information only to authenticate you, deliver YT DMS features (scan, upload, browse, share within your organization), keep the service secure, and support users when contacted. We do not sell your personal information or use it for third-party advertising.
Where data is stored
Server data is held in isolated databases per organization on infrastructure operated by YT Technologies PLC (currently hosted in Ethiopia unless your contract states otherwise). Your organization administrators can manage users, access, and retention according to their policies.
Sharing
We share data only with service providers that help us run the platform (such as hosting and SMS delivery for OTP), under contract, and with your organization’s authorized users according to permissions set in YT DMS. We may disclose information if required by law.
Retention and deletion
Retention follows your organization's rules and applicable law. You can ask your organization administrator to update or remove your account and documents. For platform-level requests, contact us at [email protected].
Security
Sign-in and API traffic use HTTPS. Tokens on the device are stored in the platform secure storage. No method of transmission or storage is perfectly secure; use a device passcode and report suspected misuse to your administrator.
Age
YT Scanner does not enforce a minimum age in the app. Access is controlled by your organization (who may invite employees, students, or other members). If you are under 18, use the app only with permission from a parent, guardian, or school/employer administrator.
Changes
We may update this policy for new features or legal requirements. We will change the date above and, where appropriate, notify your organization.
